Project

In oil and gas industry there is need to mobilize employee to offshore location and get detailed breakdown of their daily time reporting including litany of allowances they are entitled to. Semco is project-based company and reporting need is twofold. One is to create detailed time transactions based on minimum input from user and process it as an input to payroll. The other is to get cost impact of reported time to project and prepare the input or the basis for invoicing.

Semco users in its Norway subsidiary used to do the reporting aspect of this process manually in paper sheets which in turn fed into a third-party legacy system by back-office controllers. Later same result was transferred to their main ERP, the IFS.

We proposed and implemented a fully integrated, completely paperless and a digitalized system which involves an app running on mobile devices connected to their main ERP, the IFS. The solution can let the user knows to which project they are assigned to when they start reporting time with an option to change the project if necessary. With minimum input, namely in time and out time with date from the user the system generates detailed time report for the day. The report includes equal pay allowances, offshore allowances, night allowances and many more statutory and contractual entitlements. Same result is processed into project transactions and send the project module of the ERP for cost impact registration and invoicing purposes.

The solution fully automated the hitherto manual and cumbersome process with improved user experience. It also increased the number of offshore employees handled by back-office coordinators and vastly improved accuracy of reporting and drastically reduced number of hours spent on corrections. The solution uses custom developed app as input interface and uses standard time reporting functionally in IFS (Version 10) together with series of configuration and customizations. It provides back-office users with possibility of tracking failed transactions, approving transactions and even opportunity to modifying the user reporting. Currently the solution is used by close to two hundred users and have plan to deploy it to further eight hundred users in near future.

Expert Contribution

We provided the technical leadership to the project by stabilizing and streaming technical architecture on which Semco has started the project. We were instrumental in changing the integration platform from their legacy system to WSO2 which is more modern and easier to use integration platform to establish seamless connectivity between their main ERP and the mobile app. Our consultants were involved in process mapping, designing and development of interactive business intelligence, business reporter reports for process optimization
