In oil and gas industry, at time independent entities get together to bid for large projects as a consortium. PBS (Ponticelli, Brand and Semco) is such consortium based on United Kingdom and Semco is one of the three partners. Semco has committed about two hundred personnel towards this project. Ponticelli the leading partner in the consortium uses SAP as their ERP and all first level of registration happens in SAP system. Semco needs time transaction of their employees in their main ERP, the IFS for payroll purposes from HR perspective and in project module for cost impact registration and invoicing purposes.

The integration process used to be manual one which involved processing of number of spreadsheets with huge volumes of transactional data and process of modulating and synthesizing running into days.

Process starts with receipt of transaction file which contains SAP time reporting and the solution we proposed sets in to motion on the receipt of the file. Solution converts SAP transaction line sin to Project Transaction lines in IFS Project Module using a data mapping matrix which contain SAP Employee Reference, IFS Employee Reference, Wage Types and Attendance Categories. Once project transactions are created then the same transactions will be processed as an input to SAGE Payroll, the payroll solution used by Semco UK.

The proposed process is fully automated, and it seamlessly integrate two ERP systems and well-known payroll system. This saved lot of man hours involved in the manual processing of spreadsheet files and significantly reduced the errors associated with manual data processing. Since data is available in their own ERP system Semco can get real-time view of ongoing projects and take corrective action if necessary.
